How to Choose School Management Software: Features That Actually Matter

School management software promises to replace registers, fee receipt books and dozens of WhatsApp groups. The difference between a system teachers actually use and one that quietly gets abandoned comes down to a handful of practical features and how the vendor supports you. Here is what to look for.
The modules every school needs
- Student information: admissions, profiles, documents, siblings, transport and hostel.
- Attendance: class-wise marking in under a minute, with automatic SMS / WhatsApp to parents.
- Fees: fee heads, concessions, online payment, receipts, dues reports and reminders.
- Examinations: marks entry, grading schemes, report-card templates for CBSE / SEBA / state boards.
- Timetable and substitution management.
- Parent and teacher mobile apps with homework, notices and results.
- Communication: bulk SMS, WhatsApp and push notifications.
- Reports for management: fee collection, attendance trends, academic performance.
Features that sound good but rarely get used
Built-in LMS with video lectures, AI proctoring, biometric hardware bundles, GPS bus tracking on day one. These add cost and complexity. Start with the core, add extras once staff are comfortable.
Questions to ask any vendor
- Does attendance work on a slow 3G connection in a classroom?
- Can you import our existing student and fee data from Excel?
- Is pricing per student, per user, or per institution? What happens when we grow?
- Will you train our staff on-site, and what does support look like after that?
- Can we export all our data if we leave?
- Does it support our board's report card format?
Pricing models explained
Per-student pricing (₹50–150 per student per year) is common and scales with your size. Per-user pricing punishes schools with many teachers. Flat per-institution pricing is the most predictable. Watch for setup fees and SMS charges billed separately.
Migration: the step everyone underestimates
Plan the switch for the start of a session or a term break. Insist that the vendor imports student, class, fee-structure and staff data before go-live and runs a parallel week with the old system. Train class teachers first — they are the daily users.
