Custom ERP vs Off-the-Shelf Software: Which Is Right for Your Business?

When off-the-shelf software is the right answer

- You pay per user and have 20+ staff who need access (SaaS bills scale badly).
- You need the ERP to talk to your website, delivery app, weighbridge, POS or a client's system.
- You want reports the vendor does not offer and cannot be persuaded to build.
- You are being asked to run five separate tools and re-enter the same data into each.
Cost comparison over five years
Take a 30-user distribution business. A mid-tier SaaS ERP at ₹1,500 per user per month costs about ₹27 lakh over five years, with no ownership at the end. A custom ERP with the same modules might cost ₹10–12 lakh to build plus ₹2 lakh per year in maintenance — roughly ₹20–22 lakh, and you own the asset and the data.

Hidden costs people forget
- SaaS: data export limits, price increases, features moved to higher tiers, forced UI changes.
- Custom: you must budget for maintenance and keep a relationship with a developer who knows the code.
A hybrid approach that often works best
